At the next Federation of Astronomical Societies Annual General Meeting on Saturday, October 19th there will be 5 Council posts where the current post holder will be leaving. The posts that will become vacant and the duties involved are described below. Filling these posts with new people is crucial to the continuation of the FAS services provided to your astronomical society and others.

To take on one of these roles requires that a volunteer be nominated by their society and voted for at the FAS AGM as per our constitution. Please contact us via the e-mail links on the FAS website. The vacancies are: Membership Secretary, Meetings Organiser, Website Organiser, PLI Secretary, Vice President and Handbook Editor.

Council Vacancy: Membership Secretary

Processes new membership applications and manages the annual renewals using and updating the contents of the FAS membership database. Specific duties include, but are not limited to:

– Gather information for new membership application
– Managing the annual renewals through our online membership system
– Banking cheque payments for membership and reconciling BACS payments against our database
– Providing support to societies when renewing or updating their record
– With the support of the Website Organiser maintain our member email lists
– Provide information from the database to other Council post holders for their duties, as per the data protection document.

Skills desirable: basic computer skills, use of spreadsheet software (e.g. Microsoft Excel)

Council Vacancy: Meetings Organiser

To arrange the FAS Convention and AGM. This take place once per year.

Specific duties include, but are not limited to:

– arranging speakers for the convention
– arranging a trade fair for the convention
– providing details of a venue for council to choose
– set-up up on the day of the convention and liaising with Council to ensure the smooth running

All of the above is fulfilled with the full support of the FAS council. We have good links with possible venues and local support. This is a good introductory role to the FAS Council.


Council Vacancy: Website Organiser

To maintain and run the fAS website and related features such as social networks and email lists. Specific duties include, but are not limited to:

– maintain the FAS website on a reasonable basis
– maintain our Twitter, GooglePlus, Facebook pages
– maintain the council and society email lists
– Provide support to our website users
– Maintain the Membership and Renewal Systems (MARS), assisting the membership secretary as required
– Support the publication secretary with publication orders through our online system,
– Act as a data controller as per our data protection policy.

Skills desirable: working knowledge of PHP, MYSQL, CSS, HTML and WordPress.

All of the above is fulfilled with the full support of the FAS Council. Full support and documentation will given by the current post holder.

Council Vacancy: PLI Secretary

Public liability insurance covers legal claims made against a society by members of the public, (or of the society), for injury or loss while attending a meeting or observing session organised by the society. Specific duties include, but are not limited to:

– Processes new applications for PLI cover
– manages the annual renewal of the PLI cover for FAS Societies
– Liaises with the PLI Insurance Company providing details of our members

All of the above is fulfilled with the full support of the FAS council.

Council Vacancy: Vice President

Supports the work done by fellow Council members and stands in for President when required This is fulfilled with the full support of the FAS council.

Council Vacancy: Handbook Editor

To produce the annual FAS Handbook

– Maintain the Speakers List
– Edit and format the content for publication
– Arrange printing
– Distribute to member societies

Skills desirable: basic computer skills, use of word processing package (e.g. Microsoft Word)
